
Receiving professional emails on your phone without having to wait to be in front of a computer is the need of most staff in the National Education system. The Zimbra messaging system used by the Poitiers academy can easily be configured on an Android smartphone or an iPhone. However, you need to know the right settings and avoid some pitfalls that the official guides do not always detail.
Activate IMAP and SMTP before touching the phone
Have you tried to configure your academic email on mobile without success, even though your credentials worked perfectly on the webmail? The problem often comes from an invisible step: the prior activation of the IMAP and SMTP protocols on your account.
Several public institutions now require you to check an option like “Enable authenticated SMTP/IMAP” from the ENT or a dedicated portal before mobile connectivity works. As long as this activation is not done, the server refuses the phone connection, even with correct settings.
Specifically, log in to the academic intranet portal with your usual credentials. Look for a section called “Computer Account” or “Mail Settings.” If you find a box related to IMAP or SMTP, check it and validate. IMAP and SMTP settings for the Poitiers academy
Here are the settings to enter in your phone’s mail application. The IMAP protocol synchronizes your messages between the server and your device: an email read on the phone also appears as read on the webmail. This is the mode recommended by academic IT departments.
Incoming server (IMAP)
- Incoming server address: it generally follows the format imap.ac-poitiers.fr or zimbra.ac-poitiers.fr (check on your academic portal)
- IMAP port with SSL/TLS encryption: 993, to be selected in the security options of your application
- Username: your full academic identifier, often in the form [email protected]
Outgoing server (SMTP)
- Outgoing server address: smtp.ac-poitiers.fr (or the variant indicated by your portal)
- SMTP port with STARTTLS encryption: 587, the standard for secure sending
- Authentication required: check “yes” and use the same credentials as for the incoming server
On Android, the Gmail app manages these settings under “Add Account” then “Other.” On iPhone, go through Settings, Mail, Accounts, then “Other Mail Account.” In both cases, choose manual configuration to enter the server addresses yourself.
Three distinct streams to synchronize mail, calendar, and contacts
Most tutorials stop at mail configuration. The Zimbra messaging system also manages a calendar and a contacts list. On a phone, these three elements each require their own configuration.
Mail goes through IMAP/SMTP as described above. The calendar synchronizes via the CalDAV protocol. Contacts use CardDAV. This separation into three streams is gradually replacing the old single ActiveSync profile in public institutions.
Configure CalDAV for the Zimbra calendar
On iPhone, add a CalDAV account in Settings, Calendar, Accounts. On Android, a third-party app like DAVx5 (free on F-Droid) makes the connection. The CalDAV server address follows a format like: https://zimbra.ac-poitiers.fr/dav/your.identifier/Calendar. Enter your academic credentials.
Configure CardDAV for contacts
The principle is the same. The CardDAV address points to the Contacts directory instead of Calendar. On iPhone, the account is created in Settings, Contacts, Accounts. On Android, DAVx5 manages CalDAV and CardDAV from the same interface.
Without these two additional configurations, you will receive your emails but not your calendar invitations, and your academic contacts will remain absent from the phone.

Common errors that block synchronization on mobile
When configuration fails, the error message from the phone is rarely explicit. A few causes consistently recur.
The password contains special characters that are misinterpreted by the mail application. Some mobile clients poorly handle accents or symbols in passwords. First, test your credentials on the webmail from a mobile browser to isolate the problem.
The port is incorrect or the type of encryption does not match. A port 993 with SSL/TLS for IMAP and a port 587 with STARTTLS for SMTP form the standard pair. Mixing SSL and STARTTLS on the wrong port causes a silent failure.
The mailbox is full. A reached storage quota blocks the reception of new messages on all devices, including mobile. Check the available space from the Zimbra webmail, under “Preferences” then “General.”
Finally, an active VPN on the phone may interfere with the connection to the academic server. Temporarily disable it during the testing phase to rule out this possibility.
Security and best practices for academic messaging on smartphone
The Poitiers academy advises against combining personal and professional emails in the same application, for data privacy reasons. Using a separate profile or a dedicated application limits the risk of leaks.
Never forward your academic emails to a personal inbox (Gmail, Outlook.com). This practice, still common, poses a security problem: messages pass through servers outside the institution’s control.
Also, consider unchecking the option “Keep a copy on the server” if you never check the webmail. This avoids saturating your storage quota. However, if you alternate between webmail and phone, keep this option active to retrieve your messages on both platforms.
The gradual transition to the national webmail messagerie.education.gouv.fr, initiated since February 2024 according to the Poitiers academy’s website, could eventually change the server addresses. Keep an eye on communications from your IT department to adjust your settings when the time comes.
